Our Commitment

At BGVoiceStudio, we value your privacy. We are a teaching-first studio management platform designed to help teachers organise lesson notes, progress, and repertoire securely.

What Information We Collect

We only collect the data necessary to provide our teaching services:

• Student Information - names, ages, voice types, and an optional email address (provided by you, the teacher).
• Teaching Records - lesson notes, technical feedback, and repertoire progress (entered by you).
• Account Information - your email address (as the teacher / account holder).
• Canvas Data (optional) - if you connect Canvas LMS, your course rosters (student names), course and assignment names, and read-only grade information, accessed via your personal Canvas API token solely to display institutional context in your workspace.

How We Use Your Data

Your data is used exclusively to facilitate your teaching practice. We do not sell your data, nor do we use it for advertising.

Data Security & Storage

Your data is hosted by our technology partner, Base44, which provides the infrastructure, database, and authentication for the Service. All data is encrypted both while in transit and while stored. Our infrastructure partner is SOC 2 Type II and ISO 27001 certified, ensuring enterprise-grade protection for your records.

Third-Party Processors

To deliver the Service, we rely on a small number of trusted sub-processors:

• Base44 - application hosting, database storage, and user authentication.
• Google - optional calendar integration (only used if you connect your Google Calendar). Google processes your calendar data under its own privacy policy. See the "Google User Data" section below for full details.
• Stripe - payment processing for subscriptions and any payment links you create. Stripe processes payment card details under its own privacy policy. We never see or store your card numbers.
• Instructure (Canvas LMS) - optional institutional integration (only used if you connect Canvas). Soniva accesses your Canvas course rosters, assignment names, and grade information via a personal API token you provide. This data is used solely to display institutional context within your workspace and is not shared with third parties. You can disconnect Canvas at any time from Settings.

Google User Data

If you choose to connect your Google Calendar, Soniva accesses your Google user data as described below. This integration is optional, and connecting it is entirely your choice.

• Data Accessed - We access your Google Calendar events, including event titles, dates, times, and the calendars you select within the integration. We also request access to your email address scope for account identity purposes.
• How We Use Your Data - Your calendar data is used solely to display your teaching schedule within Soniva, to check your availability for lesson bookings, and to create or update calendar events when a lesson request is confirmed, amended, or cancelled.
• Data Sharing - We do not share, transfer, sell, or disclose your Google user data to any third party. Calendar data is used only to provide the calendar features within your own account.
• Data Protection - Your Google access tokens are stored securely by our infrastructure partner, Base44, and are transmitted over encrypted connections. We never expose your Google credentials in the frontend of the application.
• Data Retention and Deletion - We retain your Google calendar data only while your Soniva account is active and your Google Calendar remains connected. You can revoke our access at any time from the Settings page, which immediately disconnects the integration and removes your access tokens from our systems. Deleting your Soniva account also permanently removes all associated calendar integration data.
• Limited Use - Soniva's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We only access, use, and retain information from Google APIs that is necessary to provide the calendar features you have requested, and we do not use that data for serving advertising or any other purpose outside of providing those features.

Student Portal Booking

Students with portal access can request lessons through their private portal link. When they book, their request is checked against your live Google Calendar availability to prevent double-bookings. If you have enabled automatic booking, the booking is confirmed instantly and synced to your calendar. Otherwise, it appears as a pending request on your dashboard for you to confirm or decline.

Data Retention

Your data is retained for as long as your account is active. When you delete your account via Settings, all of your students, lessons, exercises, repertoire, and journal entries are permanently and immediately removed from our database. We do not retain copies of your teaching records after account deletion.

Your Rights

You are the "Data Controller" - you own all the data you input. You can permanently delete any individual record via the management tools within your studio dashboard, or delete your entire account (and all associated data) at any time from Settings. If you need an export of your records, you can export your full data in JSON or CSV format from Settings at any time.

Cookies

We use only essential technical cookies required to maintain your login session and ensure the security of the Service. We do not use advertising or tracking cookies.

Community Library

When using the "Community Library" feature, please ensure that you never share repertoire or teaching tips that contain personally identifiable information about your students. Only share pedagogical content (exercises, musical analysis, etc.).

Community Discussion

The Community Discussion forum allows teachers to post threads and replies visible to other Soniva teachers. Posts and replies are attributed to you by name — anonymous posting is not available. Please do not share personally identifiable information about your students in discussion posts. Other teachers can flag posts for admin review, and we may remove content that violates these Terms or is otherwise inappropriate.
